Shared Reviews with Adobe Acrobat

  • For a great, brief tutorial on sending a Shared Review: http://tv.adobe.com/watch/learn-acrobat-9/document-collaboration-using-shared-reviews/
  • Open the PDF you want to send for review in Acrobat Pro
    • Acrobat Pro is needed to initiate
    • Anyone can participate with the free Acrobat Reader
  • In the ‘Commenting’ menu, select ‘Send for Shared Review’
  • In the Review Wizard, make appropriate selections
    • Server location
      • Reviewers will need Read & Write access to the server you point them to
      • Internal partners: internally host on either a Network folder or Web server folder
      • External partners: you can use Acrobat.com which is FREE (just need to create an Acrobat ID)
    • Distribution: either as a link or an attachment
    • Add review deadline
      • Locks file date and time
      • Can’t make changes after deadline
    • Click Send when finished. This makes copy of PDF in the specified location and sends e-mail
  • Tracker: helps to find review without going back to e-mail
  • Commenting options:
    • Sticky note comments
    • 3 kinds of text edit
      • Change text/blue underline marks changes
      • Add content/blue arrow marks changes
      • Delete text/red line shows crossed out text
    • Can create your own custom stamps with an .eps file
  • Publish comments
  • Features in the Comments List:
    • ‘Show by’ (filter) type, reviewer, status, all
    • Sort by author, type, page, date or content
    • Migration/Review: Accepted, canceled, completed or rejected
  • Save file as an archive copy (flattens comments to PDF, separate from shared review)
  • BEST PRACTICES
    • Essential to clarify, document and communicate content responsibility as part of your review process
      • Leadership support is crucial
      • We followed a RASCI model
      • To help us define proofing responsibilities, we brainstormed for every possible thing that could be proofed, and created a matrix of the one individual who was responsible for each item
    • Clearly define your expectations of your reviewers. Here’s the guidelines that we have found helpful:

      Proofing Guidelines
      To make the proofing-and-approval process as effective as possible, please abide by these five simple rules. Thank you!
      1. Review your proof and publish comments within the stated timeline.
      2. Comment only on what you are responsible for. If you have a comment about something you’re not responsible for, contact the responsible decision maker.
      3. When using the Adobe Acrobat PDF proofing tool to provide comments, use the sticky-note and text tools only.
      4. If you have a question about something you see on the proof, please resolve prior to publishing your comments.
      5. Be specific and constructive in your comments—and provide the business reasons for them when applicable.

    • Hold reviewers accountable to the agreed-upon reviewing responsibilities. This is the hardest part, but it definitely pays off over time
